The Tasks tab and your lists on the iPhone
Your Tasks list on the phone, its view menu, the plus and your lists.
The Tasks tab is the first tab on the iPhone's bar and the one Roma opens on. It is your Tasks list's page: one flat list of your tasks in the list's order, with the view menu, a search and the plus in the top right, and your photo in the top left for Settings. Every other list has the same page, reached from Lists on the More tab, and what a list is is the same on the phone as everywhere else.
The bar: Tasks, Operator and More
Tasks is fixed first and More fixed last. The slots between them are yours: the Operator sits in one of them, and Settings → Navigation fills the others with Lists, Favorites, Automations, Experts or Updates. A new account's bar reads Tasks · Operator · More. Tapping Operator again scrolls the conversation to its newest message.
The rows
A row is compact by default: the status icon, the title, and the due pill and the repeat or shared marks at its end. Full size adds the task's briefing line under the title and a labelled status and due pill. Rows › in the view menu switches between the two, for every list's page on this phone.
Tap the status icon and the task moves along: to do, in progress, completed. Tap the row and the task opens, with its conversation peeking up from the bottom, the newest message in view: swipe up for the chat, swipe down and it is gone. Swipe a row to delete it. Hold a row still for its menu. Hold and move it to reorder. Task status and completing tasks explains the three statuses.
The view menu
The sliders in the top right open the list's one menu. Rows › is Full size or Compact. Sort › is Manual, Title, the list's properties, Date added or Last edited, with a second tap on the same one turning it around. Show completed › is Always, Last day or Never, and starts on Never. Select enters a mode where you check several rows and set their status or due date together from the bar that appears. A list with a repeating task offers Show repeating or Hide repeating.
Under them, the list's own settings: Edit list, Add to favorites, Copy link, Archive list and Delete list. The Tasks list can be edited and favorited like any list, and it is never archived or deleted. Edit list on the Tasks list has one switch of its own, Show tasks from all lists, off until you turn it on: with it on, a row of pills (All lists, each list, Tasks) appears under the title and the page shows every list that keeps a status and a due date.
The plus and the New task row
Tap the plus and the New task row opens at the top of the list with the keyboard up. Its pills stand from the first moment: To do, the due date, the list. Type the task and press Return. The task is on the list under the row, pinned to the top for two minutes whatever the sort says. The small bar above the keyboard has a dismiss circle and a mic for dictating the task instead. Create a task describes what Roma reads out of the words.
Drag to reorder
Hold a row and move it. A line follows your finger to the gap the row will land in, and the drop writes the list's own order, which every device sees. Under a sort, the drop asks first: "Replace the sort?" Replace sets a manual order and removes the sort. Cancel leaves everything as it was.
Your lists
Lists on the More tab is every list but Tasks, the Notes list among them. The plus there opens an inline New list row: type a name and press Return. A list opens as its own page, pushed with a back chevron, with the same rows, menu and plus. Favorites gathers what you added to favorites from a list's or a task's menu, and Shared with me holds what others shared with you. Move an item to another list covers moving a task between lists, and Sections, pins and favorites the sidebar on the web and the Mac.
On an iPhone with a wide enough window, the open iPhone Duo or a Max phone turned on its side, the Tasks tab shows the list on the left with the open task beside it, the first task already open and its row lit. On every other phone the task opens over the list, with a chevron back.
Questions people ask
Where are the board and table layouts on the phone?
On the phone every list shows as a list. List, board and table layouts are on the web and in the Mac app, and a list saved on a board there opens as the list on the phone, with the same tasks in the same order.
How do I see completed tasks?
In the view menu, set Show completed to Always or Last day. The whole history is under Settings → Tasks & Notes → Completed tasks, newest first, fifty at a time, with the status control working on every row.
How do I move a task to another list?
Ask your operator ("move the dentist task to Health") and it is done, on the phone and everywhere else. A row that shows its list pill, a task from another list on the All lists view for instance, moves with a tap on the pill. The task keeps its due date on the way.
Why did my new task stay at the top of the list?
A task you just typed stays pinned at the top for two minutes, past the sort and the filters, so it never vanishes under the rows the moment you create it. Then it takes its place in the order.
