Sections, pins and favorites in the sidebar
Group lists into sections, pin one beside Tasks and keep favorites close.
The sidebar on the Mac and in the browser is yours to arrange. Your lists sit in sections you name, a list you use all day can be pinned beside Tasks, and the tasks, notes and lists you want within reach go under Favorites. The sections, the filing, the pins, which sections are hidden and where Lists stands among your sections are the same on every device, while each device keeps its own order of the sidebar's other rows.
What the sidebar holds
At the top are the page rows: Tasks, Automations and any list you pinned. Below them come the sections that fold and unfold: Lists (your own lists), every section you made, Favorites and Shared with me. A section shows even when it holds nothing. Lists offers a Create a list line, Favorites reads "No favorites yet", and Shared with me reads "Nothing shared with you yet". Right click the sidebar to tick the sections you want on it. Lists and the sections you made show the same on your iPhone, shown or hidden and in one order. Tasks, Automations, Favorites and Shared with me are each device's own. Drag a section by its heading to reorder it among its neighbors. The sidebar's order is the order Roma uses everywhere else: the Move to menu of every item, the Go to rows of ⌘K, and the pills on the Tasks page (your Tasks list).
Sections: your lists in named groups
A section is a named group of lists beside Lists. Right click a section heading, or the sidebar itself, and pick New section. Rename section turns the heading into a field, and Delete section removes the section alone: its lists return to the default section, which is named Lists until you rename it.
To file a list, drag it into a section and let go among its rows, on its heading or on its empty line. Or right click the list and pick Move to, then the section. A list sits in one section at most. A list somebody shared with you can be filed too: right click it under Shared with me, pick Move to, and it sits in your section with its shared mark (invitations, links and Shared with me). Hide from sidebar on a section's right click takes it off the sidebar on every device without touching its lists.
On your iPhone, the Lists page shows your sections as groups that fold and unfold, in the same order as the Mac. Press and hold a section's heading and its menu opens: New section, Rename section, Delete section and Hide section. Press and hold it and move, and the section travels among the others. The page's ⋯ menu lists the hidden sections so you can show one again, and a section hidden on the Mac is hidden on the phone. A new list typed on the Lists page opens inside Lists, which unfolds for it, and the list stays there as its first row. The one filing you can do on the phone is a shared list: press and hold it and pick Move to.
Pin a list beside Tasks
Pin to sidebar is on every list's menu: in the settings menu of its page under List settings, and on its row's right click. The list leaves its section and moves to the top block beside Tasks and Automations, as a row of its own with its icon, its name and its shared mark if it has one. Drag it up or down among the page rows, and that place is this device's. Unpin from sidebar sends it back to its section. Dragging does the same both ways: a list row dragged among the page rows is pinned where you drop it, and a pinned row dragged into a section is unpinned there. Any list but Tasks can be pinned, a list someone shared with you included. Pinned lists lead every Move to menu and the pills on the Tasks page.
On your iPhone, your pinned lists lead the Lists page under a Pinned heading, ahead of the sections, and that block is their one place on the phone. The More tab shows no row for them. Press and hold a pinned list and move it to reorder the block, and the Mac seats a new pin by that same order. Pin to sidebar and Unpin from sidebar are on the list's menu there as well. The phone pins the same lists as your Mac unless you switch off Sync pinned lists under Settings → Navigation: the phone then keeps its own pinned lists, starting from the ones you had, and a pin on the Mac stays on the Mac.
Favorites
Add to favorites is the first row of every item's menu, on a row's right click, on the ⋯ of an open item and in ⌘K, and it is on every list's menu too. Favorites then lists items and lists together, in the order you drag them into. Remove from favorites takes one out. A favorite is yours alone: you can favorite a task or a list someone shared with you, and it shows under your Favorites without touching theirs. A right click on a favorite row opens the thing's own menu, so a favorite list is edited, shared or archived from there like anywhere else (create a list).
On your iPhone, Favorites is one of the sections on the More tab, or a tab of its own if you place it on the tab bar in Settings → Navigation. Items and lists are in one list together, you press and hold to reorder them, and the empty page says where a favorite comes from: "Save an item or a list to favorites from its menu, and it shows up here."
Questions people ask
Do sections and pins sync between my Mac and my iPhone?
Yes. The sections, their names, which list sits in which, and which lists are pinned belong to your account and show on every device. Which sections are hidden and where Lists stands among your sections sync too. What each device keeps for itself is whether Favorites and Shared with me show on your Mac and where they sit among the rows. If you would rather pin lists on the phone without pinning them on the Mac, switch off Sync pinned lists under Settings → Navigation on the iPhone. It keeps its own pinned lists from then on, and switching it back on shows your account's again.
Can I put a list someone shared with me into a section?
Yes. On the Mac and in the browser, right click the list under Shared with me and pick Move to, then the section, or drag it there. On your iPhone, press and hold the list and pick Move to. It keeps its shared mark and leaves Shared with me, and it can be pinned beside Tasks the same way as one of your own. Under Lists it sits among your own lists wherever you drag it.
What is the difference between pinning a list and favoriting it?
Pinning moves the list's row into the top block of the sidebar beside Tasks and Automations, so it comes first wherever lists are offered. Favoriting adds it to the Favorites section, where it can sit beside favorite tasks and notes. A list can be both. Only lists can be pinned, while favorites take items as well.
Can I hide a section I never use?
Yes. Right click the sidebar and untick the section, or pick Hide from sidebar on the section's heading. Lists and the sections you made are hidden on every device, your iPhone included, and keep their lists, which still appear in every Move to menu after the sections you show. Favorites and Shared with me are hidden on this device alone. Tick it again to bring it back, or on the iPhone pick Show in the Lists page's ⋯ menu.
