List, board and table layouts

Cards, columns or a grid, three ways to see one list, saved per list.

Every list in Roma has three layouts on the Mac and in the browser: the list, the board and the table. All three show the same items in the same order. What differs is the shape. The layout is part of the list's saved view, with its sort, its filter, its shown properties and its row shape, so a list opens the same way on every device. On your iPhone every list opens as the list layout.

Switch the layout

Open the settings menu at the end of the list's bar (the sliders icon), then View settings → Layout, and pick List, Board or Table. The command palette (⌘K) offers the same rows while you are on a list. The choice is saved on the list.

The list

Cards in a column, in the list's order. Rows come in two shapes under View settings → Rows: Compact is one line, with the status icon, the title and the pills trailing, and Full size adds a second line and puts the pills in a row of their own. Compact is the default on every list. The pills are the status, the due date and one value pill per property the item holds.

The New task row (New item on other lists) opens at the head of the list. Drag a card to reorder the list, which keeps that order as its manual order. Under a saved sort a drop first asks "Replace the sort?", and Replace keeps the order you dragged into and clears the sort. Drag a card onto a list in the sidebar to move it there.

The board

The same items dealt into columns. Group (the control in the bar, or View settings → Group) decides the columns: None is one column of everything, then Status, any Select or Multi-select, any Date, and the Due date. The Due date groups by its bands, Overdue, Today, Tomorrow, This week, Later and No due date. A Date property groups by the calendar instead, by Day, Week, Month or Year under Date by, because a date is not a deadline.

Drag a card into another column and it takes that column's value: a status, an option, a day. A multi-select card appears in every column of its options. A column's plus creates in that column with the value set. Drag a column by its header to rearrange: under a select the order becomes the property's option order, and under Status and the due bands it is your view's. After the last column of a select, New group adds an option. A column with nothing in it reads "No tasks" or "No items", and the column for items with no value appears only while something is in it.

A board grouped by Status is covered in task status and completing tasks, and the due bands in due dates, times and reminders.

The table

A grid: the title column first, headed by the list's own word for it, then one column per property. Click a cell to edit in place: a due date cell opens the due date picker, a select cell its option panel, a text cell a field. Drag a column's edge to resize it and its header to reorder, the title column included. A header's menu sorts by the column, hides it, updates its type or deletes it, and the plus at the end of the header adds a property. Widths and the column order are saved on the list.

The table creates in a draft row at the bottom, New task or New item, whatever the sort, and Enter creates the item and lets it sort into its place. Rows drag by the grip that appears at their left, and the ring in each row selects it, with select all in the header.

What every layout shares

  • Sort. Sort in the bar: Manual first, then Title, the properties, and Date added and Last edited last. A second rule breaks ties. Manual clears every rule and shows your own order.

  • Filter. Conditions as chips above the rows, and every condition must hold. A pick condition applies at once, and a typed one waits for its value. A date condition has two pages. Range offers Today, Tomorrow, This week and Next week, each a whole range that follows the calendar. Date offers a comparison such as is before or is empty, with a day from the calendar. Due date Today shows today's tasks and everything overdue, tomorrow as well as today, and that list is your Today page. This week is the rest of this week by your week start, with the overdue, and Next week is next week alone.

  • Search. The magnifier in the bar searches the list in place of the sort and filter, and the query is not saved. Search across all of Roma is in search in Roma.

  • Properties. View settings → Properties hides a property in every layout at once. The item's detail still shows every property. See properties.

  • Show. On a list with a Status, Show › Completed tasks is Always, Last day or Never.

  • The item's menu. Right-click a card or a row, or open the detail's menu, and you get the same rows everywhere.

On your iPhone

Every list shows as the list layout, whichever layout you chose on the Mac, with the same cards and pills. Its settings menu offers Rows, Sort and Show completed. Hold a row and move it to reorder, and hold still for its menu. The sort is the list's, so a sort you set on the Mac is the order on the phone.

Questions people ask

Does the layout I pick on the Mac show on my iPhone?

The iPhone shows every list as the list layout. The sort and the hidden properties are the list's own and follow you to the phone, and the row shape is each device's own.

Can a board group by a text or number property?

No. A board groups by Status, a Select, a Multi-select, a Date or the Due date, the kinds whose values make columns. Sort or filter by a text or number instead.

Why does the board not let me sort by the property it groups by?

Because every card in a column shares that value, so a sort on it would change nothing. The sort offers the other properties, and under a date grouping it still offers the date, which runs the columns.

Where are my completed tasks on a board?

Where the list's Show rule puts them. Under Never, the default, the Completed column stays empty. Pick Always or Last day under View settings → Show, and the column fills with the completed tasks the app holds (in the browser and in the Mac app, the last seven days) or with those of the last day.
