Import your tasks from Todoist, Things or Apple Reminders

Bring your open tasks over once, with their lists, dates and repeats.

Roma brings your open tasks over from Todoist, Things or Apple Reminders in one pass. Each list you kept becomes a list in Roma, each open task a task with its due date, notes, order and creation date, and a repeating task becomes an automation. The import runs from Settings → Import, and a second run skips what it already brought over.

What comes over

  • A list in the other app becomes a list in Roma, with its name and description. A list with the same name as one you already have is reused.

  • Tasks that sit in no list of their own, or in the Reminders list named Reminders, land on your Tasks list.

  • Sections in Todoist and headings in Things become a Section property on the list, and labels and tags a Tags property, so every task keeps them as properties.

  • Subtasks in Todoist and checklist items in Things become a checklist in the task's body.

  • Due dates come over, with the time where the source had one.

  • The creation dates and the order of your tasks are kept.

  • A repeating task becomes an automation that creates the next one on schedule, with the current task linked to it: always from Things, from Todoist when the rule is in English, and from Reminders on the iPhone.

  • Completed, cancelled and trashed tasks are skipped.

Todoist

Todoist connects like any other app, for this one purpose. The operator never reads or writes your Todoist tasks.

  1. Open Settings → Connections and press Todoist. Sign in with Todoist in the window that opens, and close the page when it says Connected.

  2. Open Settings → Import. Under Todoist, press Preview. Roma reads your tasks and shows what it found: how many tasks, which lists with their tasks and sections, how many sections and labels.

  3. Press Import. The result shows how many lists, tasks, tags and sections were created, how many lists matched ones you already had, how many repeating tasks became automations, and how many tasks were skipped as already imported.

A repeat rule written in English, "every Monday" or "every 2 weeks at 2pm", becomes the automation's schedule, with the time of day, and a repeat that counts from completion stays one. A rule Roma cannot read, in another language, with an end clause, or more often than daily, comes over as a plain task with the rule kept as text on it. Todoist works in the browser, the Mac app and the iPhone app.

Things, from the Mac app

Things keeps its data on your Mac, so the import runs in the Mac app. Open Settings → Import. When Things is installed, Roma finds its data on the Mac and offers to read it. Press Read, and the preview shows your open tasks, the completed and trashed ones it will skip, the areas and lists you keep in Things (each a list in Roma), your tags, and your repeating tasks with their rules. Press Import.

An area with tasks of its own becomes a list too. Headings become sections. Checklist items land in the body as a checklist, ticked where you ticked them. A repeating task's rule comes over whole, fixed schedule or counted from completion, with its end date or count and its reminder time, and the next date is worked out the way Things does it. A paused repeat stays paused. Notes keep their line breaks. If macOS blocked the read, allow Roma's file access under System Settings, Privacy & Security, and press Read again.

Apple Reminders, from the iPhone

Open the iPhone app, then Settings → Import → Apple Reminders, and tap Read Reminders. iOS asks once for access to your reminders. The preview shows the open reminders, your lists and how many are dated. Tap Import.

Every Reminders list becomes a list, except the default one, whose reminders land on your Tasks list. A due day comes over as the day, a due time as the time, and an alarm set apart from the due time becomes a Roma reminder. A repeating reminder becomes an automation with its rule, its end date or count kept. Tags, flags, subtasks and attachments are not among what iOS lets an app read, and they stay in Reminders.

The Mac app can read Reminders too, from Settings → Import → Apple Reminders → Read Reminders, with one macOS prompt the first time. The Mac's read carries no repeat rules (a repeat arrives as its current reminder), so the iPhone is the better device for it. One device is enough: importing on both brings the same reminders twice.

Running it again

An import never updates. A second run of the same source skips every task it already brought over, deleted ones included, and brings only what is new. A task you edited in the other app since is not edited in Roma. There is no ongoing sync.

Questions people ask

Do my completed tasks come over?

No. Only open tasks are imported. Completed, cancelled and trashed ones are skipped in every source.

What happens to my sections and labels?

They become properties on the list: a Section property with one option per section, and a Tags property with one option per tag, the same tag sharing one option across lists. Every layout of the list shows them, and a board can group by Section.

Can I import Things from my iPhone or from the browser?

No. Things keeps its data in a file on your Mac, so the Mac app is where it is read. Todoist works everywhere, and Reminders on the iPhone and the Mac.

Will Roma keep syncing with Todoist after the import?

No. The import is one pass. Connecting Todoist exists for the import alone, and the operator never reads or writes your Todoist tasks. Run the import again to pick up new tasks, and what was already imported is skipped.
