Google Drive in Roma
The operator finds and reads your files. It never edits or deletes one.
Connect Google Drive and your operator can find the file behind a task and read it into the work at hand: a Google Doc, a Sheet, a Slides deck, a PDF or an Office file. The connection is read-only. Roma never writes to, shares, comments on or deletes anything in your Drive.
What the operator does with your files
Sam asks "Find the lease in my Drive" and the operator searches the words across My Drive and the shared drives he can see, answering with the file and its link. "What is in the Drive folder called Contracts?" lists its contents. "Read the Q3 plan and tell me the headcount number" reads the document and quotes the figure. Headings, bold, tables and links survive the read, so a plan reads like a plan. A very long document is read up to a limit, and the operator says when it was cut.
Sheets work the same way. "What is in the Budget sheet?" reads every tab. "Column B of the Costs tab" reads one range. A spreadsheet that was uploaded as an Excel file is read whole rather than by range. PDFs and Office files, Word, Excel and PowerPoint, are read as text, and a scanned PDF with no text in it comes back with a notice saying so. The comments on a document can be read too: "What did Noor comment on the spec?"
What the operator reads can land in your work, the figure in a task or a summary in a note, with the file linked from the item.
What it never does
No uploads, no edits, no moves, no new Drive folders, no sharing, no comments, no deletions. Ask for one and the operator says it cannot. The sign-in page asks for access to your whole Drive, because Google grants this kind of access to a Drive as a whole, never to one Drive folder. Roma's own rules limit what it does with that access to the reads above, and a file is opened on Roma's server, so only its text reaches the operator.
How to connect
Open Settings → Connections and press Google Drive. Sign in with Google in the window that opens, allow the Drive access it lists, and close the page when it says Connected. The row carries a green check, and its page shows one permission group, Reading, always allowed. There is nothing else to set. The iPhone's Settings → Connections carries the same row. The general steps are in Connect an app to Roma, and the public page is /connections/googledrive.
How to disconnect
Settings → Connections, press Google Drive, then Disconnect. Access ends at once. Items that quote a file keep their text and the link.
Questions people ask
Can Roma edit a Google Doc for me?
No. The Drive connection reads only. Ask the operator to draft the text in a note or in a task's body, and paste it into the document yourself.
Does it read shared drives?
Yes. A search covers My Drive and the shared drives you can see, and you can ask for the files of one shared drive by name.
What file types can it read?
Google Docs, Sheets and Slides, PDFs, and Word, Excel and PowerPoint files. A scanned PDF needs text in it to be read.
Is a second Google account possible?
A connection holds one account. Connect the Drive you want Roma to read.
