Share a list
Give one person or a few the whole list, with the role you choose.
Sharing a list gives one person or a few the whole list: every item in it, everything added to it later, and one shared conversation about it. You share from the share icon in the list's header or from the list's settings menu, invite people by email address or create a public link, and everyone in the list then works on it the way you do.
Where to share a list
The share icon stands in the list's header, and the list's settings menu offers Share list. In the browser and in the Mac app the list's row in the sidebar offers it too. Your Tasks list is the one list that is never shared: share one of its tasks on its own instead, as in share a task or a note. Every other list, your Notes list included, shares the same way.
What comes along
The list is the thing that is shared, as one whole: one membership per person, one join, one leave. Everything inside comes along, every item. Whatever is added to the list later comes along too, and whatever is moved out leaves, unless it has a share of its own.
The dialog's line under the title says so, with the live count: "Once shared, collaborators see everything in this list, 12 items right now, and a new shared conversation about it", and goes on to say that every item in it gets one too and that your private conversations stay private. The level sentence beside each person reads "Collaborators can view and edit everything in the list.", and Full access adds "and can also invite other collaborators."
What everyone in the list can do
Permissions live on the list, and nothing inside depends on the level. Everyone in the list adds items and edits everything inside: the title, the body, the status, the due date, every property, the attachments and the chat. They archive and delete inside the list. They also edit the list itself: its name, its icon, its properties (adding, renaming, retyping, reordering and deleting them, from a column's header menu, the + at the end of the header and Edit list) and the view everyone shares. A member holds exactly what the owner may do on the list, never more and never less.
What a member creates belongs to you. Their name is on the item's history and in the list's Created by property, so you always see who added what.
What stays yours
Deleting or archiving the list, your own favorite, the list's standing instructions and its assist switch (which members are not shown), and the sharing itself: the public link, people's levels, removing people and stopping the share. The only thing a level is meant to decide on a list is whether a person can add more people, and neither client offers the invite field to a Full access member of a list, so in practice the two levels behave the same here. The levels are in Roles: Can edit and Full access.
Two properties a shared list gains
At its first share a list gains a Created by property, a person column Roma fills with who added each item. It is hidden until you show it from the view's Properties, and it stays once the list is unshared. A list that keeps both a status and a due date also gains an Assigned to property, shown, for who each task is for. It is empty until someone sets it, and the share assigns nobody. Both are described in working together on a shared list.
One shared conversation for the list, one for each item
The list gets a shared conversation of its own the moment it is shared, the one conversation everyone in the list sees. In the browser and in the Mac app the list's rail reads Thread beside Global, and on the iPhone the list's chat sheet opens on Shared chat. The operator is silent in it until someone writes @operator. Your private conversation about the list from before sharing stays yours and out of reach while the share lasts, and comes back when sharing stops. Every item inside gets a shared conversation too, which is where members talk about one thing.
How a list link works
A signed-in person who opens the list's public link is in at once. Signed out, the link shows the list's card: its icon and name, "Shared by Mara", how many items and people it has, and Join this list with "Join to see the items inside." The list's shared conversation shows beside the card, read-only. Nobody browses a list's items without joining: they stay behind Join.
What a member sees
A member finds the list as one row under Shared with me and sees it the way you do, in your order. Its items are never listed separately there. In the browser and in the Mac app the Lists page lists it too, under Show shared with me. The list's items keep their list pill, so an item opened from the shared list names its list to everyone in it.
A person who joins sees the list exactly as you arranged it: the layout, the sort, the filter, the shown properties, the board's grouping. In the browser and in the Mac app any change a person makes is theirs alone until they press Save for everyone, which writes the view for everyone on the list, you included. On the iPhone a member's change writes the view for everyone at once. In the browser and in the Mac app the header also shows the faces of the people who have opened the list, and hovering a face opens their member card.
Everything about the people and the moves inside a shared list is in working together on a shared list, and ending the share is in stop sharing, or leave something shared with you.
Questions people ask
Can someone in my shared list delete items?
Yes. Everyone in the list archives and deletes items inside it, and your history names who did it. Deleting or archiving the list itself stays yours.
Can I share my Tasks list or my Notes list?
Your Tasks list, no: share one of its tasks on its own instead. Your Notes list is a list like any other, so it shares the way every list does, with every note inside coming along.
What happens to an item I move out of a shared list?
It leaves the share with the list's people, unless it has a share of its own, and the move asks you first. A member can move items out as well, into their own space, and the item becomes theirs. The questions each move asks are in working together on a shared list.
Can a member of my list add people to it?
No. The list's share icon and Share list are the owner's on every client, so adding people to the list is yours to do, whatever level the people in it hold.
