Roles: Can edit and Full access
Two levels, what each allows, and what only the owner can ever do.
Roma has two levels for the people you share with. Can edit lets a person read, chat, comment and edit. Full access adds one thing: inviting other people. Everything else, from deleting the thing to stopping the share, stays with the owner and never changes hands.
Can edit
Can edit is the default for an invitation, and the only level a public link gives. A person with Can edit reads the thing, writes in its shared conversation, comments on a passage and edits what the share opens to them: the title and the body of a task or note shared on its own, and everything inside a shared list.
The level's dropdown in the share dialog says it in one sentence. On a task: "Collaborators can use the sidebar chat and operator to edit the task title and body." On a list: "Collaborators can view and edit everything in the list."
Full access
Full access has everything Can edit has, plus inviting other people. It is only given by invitation, never through a link. The dropdown's sentence is the same with one more clause: "and can also invite other collaborators."
A Full access member of a task or an item opens its share dialog from Share task or Share item in the ⋯ menu (in the browser from the share icon too). They see the banner naming who shared it, the invite field, the people with their levels read-only, no link section, and Leave in the footer. They invite, but they never change anyone's level or remove anyone. Inviting someone who already has access never lowers that person's level, and inviting them at a higher level raises it.
What only the owner can do
Whatever the level, these stay with the owner:
Deleting or archiving the thing.
The public link: creating it and disabling it.
Setting anyone's level, and removing people.
Stopping the share.
The owner's own filing, reminder, repeat and favorite.
Version history and restore.
On a task or note shared on its own, the owner also keeps the status, the due date, every other property and the attachments. A member who hovers one reads "Only the owner can change this." (on the iPhone a tap says it). The title and the body are everyone's, as share a task or a note describes.
Where the level matters, and where it does not
On a task or note shared on its own, both levels edit the same things: the title, the body, the comments and the conversation. The one difference is the invite field.
On a shared list, nothing inside depends on the level. Everyone in the list adds items, edits everything inside (the status and the due date included), archives and deletes inside, and edits the list's name, icon, properties and shared view. The only thing a level is meant to decide is whether the person can add more people to the list, and neither client offers the invite field to a Full access member of a list, so the two levels behave the same there. The whole list contract is in share a list.
What you see as a member
Open the share dialog of something shared with you with Full access, and the banner reads "Shared by Mara Lund." with "You have full access: you can edit, chat, and invite others." A Can edit member gets no dialog at all: their ⋯ menu offers Copy link and Leave, and the header keeps its link icon.
The member card tells everyone's standing. Hover a face in the header, a name in the conversation or a Created by value (in the browser and in the Mac app) and it opens: the person's full name, "Owner" or their level beside it when you are someone who may invite, their address, and whether they are on the thing right now.
Your own favorite is yours whatever your level. Every member can favorite an item or a list shared with them from its row menu. The star is theirs alone, the owner never sees it, and the thing joins their Favorites.
Updating a level later
The owner can update anyone's level or remove them at any time, from the dropdown beside the person in the share dialog and the Remove at its foot. A removed person loses access at once, and what they edited stays. Removing people and ending a share are in stop sharing, or leave something shared with you.
Questions people ask
Can I give someone read-only access?
No. Roma has two levels, and both edit. Anyone you invite, and anyone who joins through the public link, edits the title and body of a task or note shared on its own, and everything inside a shared list. A stranger holding the public link reads a task or note before signing in, and signing in joins them with Can edit.
Can a Full access member remove someone or stop sharing?
No. A Full access member invites other people, and that is the whole difference. Levels, removals, the public link and Stop sharing belong to the owner.
Does the public link give Full access?
No. A link gives Can edit and nothing else. Everyone who joins through it edits and chats, and nobody who joined through it invites anyone. Full access is given by invitation only.
If I invite someone again, what happens to their level?
Only upwards. Inviting a person who already has access never lowers their level, and inviting them at a higher level raises it. To lower a level, pick the new one in the dropdown beside their name.
